Learn How to Schedule Mass Emails in Event Hawk

Steps

  1. Login to your Event Hawk account from a computer (https://app.EventHawk360.com)
  2. On the left-hand side, you will see an option that says “email marketing” click it!
    •  Then on the email marketing tab, you will click “emails” at the top, then “Campaigns”
  3. Once you are on the Campaigns screen, on the upper left side click the green box that says “Create campaign”
    • Make sure to add the name of the email campaign at the very top.
    • Click the little check mark on the right-hand side of the screen for a blank campaign. 
    • There you will click “designer edit”
  4. This is a drag-and-drop design editor.
    • Meaning all you have to do is take whatever it is you want on the left side of the screen and drag it to the blank email you are creating 
  5. You will want to stick to mainly text, if you have a lot of images then the email looks very “ad” like. A few images are fine, or one at the top with your 
  6. From there you are going to add some text
    • Use Chat GPT for this 
    • One prompt idea “Write a promotional email for (insert your website address here)
  7. The best part you can take it, take parts of it, take the whole thing
    • But make sure you read it before sending it 
  8. Then just for fun, make a shorter version 
  9. Then ask it for another version
    • We like doing this and getting multiple variations of things so we can pick the best one
  10. Split test
    • The time
    • Data 
    • The week 
    • The offer 
    • Subject line 
    • All of it, just to see what gets people clicking and what doesn’t
  11. If you are using the customer name, then you will want to highlight the “customer name” part on the email, and on the top right click “custom values”
    • Click “Contact
    • Then click “first name”
    • It will automatically fill in the customer’s first name., 
  12. Save it
    • Then do a test email to yourself 
    • See what it looks like before it is scheduled to be sent
  13. You can either send it out immediately after you create it 
  14. OR you can schedule it to be sent at a certain time and certain date. (remember the split testing)
  15. Put the email you want to send it from
    • And the name (if you want)
  16. Add the subject of the text 
  17. Scroll down to the preview text line
    • Play around with it 
    • Add the persons name 
    • Maybe say something like “Heres a great idea for Halloween”
  18. Last but not least, click on who you are sending it to,
    • Fo rthis one you click contacts, then all contacts ( it will tell you how many contacts it will send to)
    • Or you can do a smart list and send it to just schools, or hospitals or whatever!
